Loughborough Schools Foundation Event and Ticket Sale Terms and Conditions

 

1. Terms and Conditions 

The terms and conditions outlined below are subject to regular reviews and updates and may be altered at any time. All tickets are sold subject to availability and in line with the following Terms and Conditions. The Terms and Conditions should be read carefully prior to purchase. If you have any queries about them, you should address these to the Development Office prior to purchase via alumni@lsf.org, as purchase of tickets constitutes acceptance of these Terms and Conditions.

 

2. Data Protection 

The use of personal information supplied to us as part of the booking process is governed by our Privacy Policy . Information provided by you during the booking process will be used to update your alumni record on our database. This will enable us to contact you about the event and future events that may be of interest to you.

 

3. Booking Your Ticket 

If you would like to attend an event it is your responsibility to book your ticket directly either through our booking links on Trybooking or over the phone. If you are booking as a group, it is your responsibility to ensure you are included in the booking by the main booker and it is the responsibility of the main booker to ensure all the details supplied for guests are correct.

All ticket sales must be concluded and processed on the date of the RSVP date for each event to allow for final numbers to be provided to internal/external stakeholders and final preparations to be made for the event. After the RSVP date it is up to the discretion of the Development Office to decide whether further tickets can be sold.

 

4. Registered Guest List 

All attendees are routinely added to our ‘Registered Guest List’ on our event webpage. This allows fellow alumni to know who is joining us and find friends. If you do not wish for your name to be included on this list, please contact the Development Office on alumni@lsf.org

 

5. Age Restrictions 

Some of our events may have age restrictions in place where those attending must be aged 18 or over. The Development Office reserves the right to request proof of age prior to and on your arrival at an event. If it is discovered that you are under the age of 18, we reserve the right to cancel your ticket booking and deny entry to the event.

If you would like to bring children under the age of 18 to an event then please contact the Development Office by emailing alumni@lsf.org prior to purchasing tickets.

 

6. Ticket Refunds 

Tickets are only refundable in the following circumstances:

a) If the refund request is made before the RSVP date of the event (usually 7-10 days before the event). It is the responsibility of those booking tickets to know what this date is for each event.

b) If the Development Office has not incurred any individual costs associated with your booking.

c) If the event is cancelled, rescheduled or the location of the event is changed.

Personal arrangements including but not limited to travel, subsistence, hospitality, or accommodation relating to the event which have been arranged by you, are at your own risk. The Loughborough Schools Foundation and the Development Office shall not be liable for any loss of enjoyment or wasted expenditure.

 

7. Notification of Event Changes (i.e. rescheduled, cancelled, changes in time and location etc) 

If, for circumstances beyond the Development Office’s control, an event is rescheduled to another date, your ticket(s) will still be valid. If you cannot make the rescheduled date, then as stated in Clause 6.c, you are entitled to a full refund.

The Development Office will notify you of any changes using the details provided by the ticket booker when purchasing the tickets. It is your responsibility to inform the Development Office of any changes to the contact address, telephone number(s) or email address you provided in order to receive all necessary information regarding your booking and the event. We will also share the information via our website and social media channels.

 

8. Special Access Requirements 

If you have any special access requirements, please discuss any such issues before purchasing the tickets with the Development Office by contacting alumni@lsf.org

 

9. Dietary Requirements 

It is the complete responsibility of each guest to ensure the Development Office is aware of any dietary requirements such as allergies, intolerances, as well as specific diets such as vegetarian or vegan requirements. All dietary requirements need to be received before the RSVP date of the event. After this time the Development Office will endeavour to ensure that your requirements are met, however this cannot be guaranteed and will be at the discretion of the internal/external catering team. Please include all dietary requirements when booking online or send them via email to alumni@lsf.org. Please note your dietary requirements will be added to your alumni record as part of the administration of the event.

 

10. Special Effects 

If you have any concerns about any special effects (for example lighting, sound, audio-visual, photographic flashes or pyrotechnic effects) which may be featured at an event, please discuss any such issues before purchasing the tickets with the Development Office by contacting alumni@lsf.org

 

11. Photography 

Photography is taken at all our events either through a hired photographer or through members of staff. Photos taken at events will be used on, but not limited to, our website, social media and printed publications. If you do not want to be included in photographs then please inform the photographer and a member of the Development Office.

 

12. Guest Property 

Vehicles and Guests’ property are brought to our events at your own risk. Loughborough Schools Foundation does not accept any responsibility for any loss, damage, or theft of any item.

 

13. Safeguarding 

As many of our events take place in the Schools, visitors must proceed directly to the event venue as indicated in their final details email. Guests are strictly prohibited from entering other areas of the school other than those stated in communications unless accompanied by a member of staff or designated guide, as per our Safeguarding of Children regulations.

 

14. Changes to Details 

It is your responsibility to inform the Development Office of any changes to the contact address, telephone number(s) or email address you provided in order to receive all necessary information regarding your booking.
